POS daily sales posted twice: a guide for Xero users
The same till takings are in the books twice, or a day went in wrong. Usually two sources posted the same days, or a start date moved after the first import. This guide covers what five tills post, removing the extra copies by hand, and voiding a selection of approved daily documents in one run.
Checked against Xero Central and the vendors' help pages on 23 October 2026.
What each till posts, and how a day goes in twice
The till's connection, not Xero, decides what is sent and in what status. Each vendor's own pages follow; where one is silent on draft or approved, so are we.
- Square. Xero's page says Amaka provides the connection, creating one invoice and one fees bill a day (Connect Square to Xero). Amaka offers a back-sync from a start date you pick (guide) and says to switch off Sales Sync if you also invoice each Square sale in Xero (Amaka). Draft or approved: not stated.
- Lightspeed Retail (X-Series). Each register closure creates an invoice with its payment totals applied, so every register at every site posts one (closures). A "Send invoices as" setting offers Approved, Awaiting approval or Draft (setup, listed under Expenses); Lightspeed recommends Approved (usage). Its resend steps: remove the payments, void the invoice, resend the closure (resend). Skipping the void is the obvious way to get duplicate invoices (our inference).
- Zettle (now PayPal Point of Sale). One sales invoice a day, marked paid once payments are in, plus a daily refunds credit note and fees bill (Zettle). The start date cannot change after the first import, it says, because overlapping days would duplicate. Connect one source only (Zettle or PayPal Business), and switch off "Synchronise sales data" if another till posts sales. Draft or approved: not stated.
- Epos Now. A summary invoice a day (by product or by category) or one per transaction, posted when the till closes. Only seven days of history can be synced, and the old "Xero (Epos Now)" app should be uninstalled once the new one is set up (Epos Now). Draft or approved: not stated.
- SumUp. At 4:00 a.m. it posts the previous day's sales as invoices to a customer called "SumUp", plus a fees bill after each payout, both marked paid through a clearing account (SumUp, connecting). Silent on doubling, and on draft or approved for sales.
Put together, the risks are two sources on the same days, a start date or back-sync reaching posted days, a resend with the first copy kept, or a hand-made invoice for the same sale. Online shops: Shopify and Amazon sync guide.
The manual way, step by step
- Find the duplicated days. Search sales invoices by the till's contact, date range and amount (Search for transactions). Two documents with the same date and total are the suspects.
- Stop the second source. Switch off sales sync on the extra connection, or uninstall the old app, before removing anything. Otherwise the next run posts the days again.
- Pick the copy to keep. Keep the one your bank deposit is matched to.
- Delete drafts, void approved ones. Draft and awaiting approval invoices can be deleted, several at once. An approved sales invoice can only be voided, one at a time (Delete or void an invoice); fee bills can be voided together (bills).
- Take payments off first. A paid invoice must lose its payment before it can be voided. Remove & Redo deletes it and leaves the bank line to reconcile again (Delete a payment); if it only sits on the wrong line, unreconcile it (Unreconcile).
- Credit what is locked or reported. Users cannot add or edit transactions dated on or before a lock date (lock dates). Ask your accountant; the alternative is a credit note dated after the lock, applied only to an awaiting payment invoice (credit notes).
- Confirm the totals. Compare each day's takings and payment types with the till's end-of-day report.
Where the manual way runs out
- Sales invoices are voided one at a time: a month of daily summaries from several sites is dozens of voids.
- Many tills post paid documents, so each copy needs its own Remove & Redo first, which cannot be undone.
If your till posts journals or bank transactions
Zettle's page says deposits arrive as a transfer or receive money transaction. If your connection posts those or manual journals instead of invoices, Xero explains deleting an account transaction and voiding manual journals. Unapprove cannot act on either, so the next section does not apply.
The faster way for approved daily invoices: Unapprove
Unapprove is a web app that works with Xero. It does not know what your till sent, find duplicates, connect to a till or stop one posting again. It acts only on approved sales invoices and bills, not journals, bank transactions or credit notes.
- Select the days. Filter by type, status, date range, contact, number, reference or amount owing. SumUp's page names its contact "SumUp", so that contact plus the doubled dates picks out the copies.
- Preview, back up, confirm. The preview writes nothing. It offers a CSV backup to download, and you type the count to confirm.
- Void them together. The void-only run voids approved sales invoices and bills in batches of 50, rechecks each one, reads it back, and adds a "Voided in bulk" history note.
- Paid takings. A separate "Remove payments and void" run takes paid documents: it removes the payments, then voids. Reconciled and batch payments are left alone and listed; unreconcile those first.
- Wrong, not doubled. For an unpaid day posted to the wrong account or tax, the unapprove run makes a draft copy to correct, with the same lines and number, and voids the original, renamed -V.
What it skips, and tells you why: documents with a payment or allocated credit note in the void-only run (why), in a locked period (why), or for an archived contact (why).
